Summary of Reports

Scheduling

  • Appointments - This report will display all appointment information from the schedule.

  • Authorization Details - This report will list the authorization details for the client and month selected, and break down the scheduled, rendered, and completed hours and percentages for each authorization.

  • Unrendered Appointments - Will display the unrendered sessions on the schedule, billable and non-billable.

  • Session Cancellations - This report will show the canceled sessions for the period selected, and also display the cancellation reason entered by the staff.

  • Rendered Sessions - This report will show the billable sessions that were rendered during the period selected.

  • Appointments Type Details - This report will show a list of all billable and nonbillable appointment types that have been created in the system, and will also list details for each appointment type.

  • Smart Scheduling - This report will show staff availability based on the appointment parameters that are set, and can be used to find which staff are closest and most available for appointments that are being scheduled.

  • Authorization Details by Month - This report will show the monthly breakdown in rendered hours for authorization use for the past year.

Financial

  • Account Ledger - This report will show the billing information breakdown for claims within the date range selected, including payments and adjustments.

  • Payment Details - This report will show the payment information for each claim within the date range selected, including payment amounts and check info.

  • Ready to Bill - This report will show a list of rendered billable sessions for the date range selected. These sessions can then be submitted from the Billing Area.

  • Monthly Revenue by Payer - This will show the expected revenue from your payers for the month and year selected. Expected Revenue is based on the contracted rates entered for each payer under the Payer Service Codes section.

  • Claim Notes - This report will list the basic claim information along with any internal note that has been added to the claim from the Billing area.

  • Client Balance Sheet - This report will show outstanding dates of service and list the outstanding claim information including allowed amount, any payments, and payment dates.

  • Profit Report - This report will list staff dates of service and compare the payroll rates vs the billed amount. The difference between the two is displayed under the Profit column.

  • Master Service Codes - This report gives a breakdown of all the service codes, rates and modifiers listed for the codes entered under Masters > Service Codes.

  • Payer Details - This report gives the payer information including the service codes and activities for each payer entered into Theralytics.

  • Payment Summary by Clients - This report lists the payment totals for the date range selected for each of a client’s payers.

Accounts Receivable

  • A/R Aging by Payer - Provides the outstanding billed and expected balances by total amount owed by each payer.

  • A/R Cutoff by Payer - Provides the outstanding billed and expected amount totals for each payer, but only for payments that have been made between the selected date of service range. Payments made outside of the date range selected for dates of service within the date range selected are not counted in the cutoff report.

  • A/R Aging by Client - Provides the outstanding billed amount per client for the selected date of service range.

  • A/R Cutoff by Client - Provides the outstanding balance by client for the selected date of service range, but only for payments that have been made between the selected date of service range. Payments made outside of the date range selected for dates of service within the date range selected are not counted in the cutoff report.

  • A/R Aging by Payer and Client - Displays the outstanding balance first by payer, then by individual client for each payer within the selected date of service range.

  • A/R Aging by Activity - Displays the outstanding balance first by payer, then by billable activity for each payer within the selected date of service range.

  • A/R Aging by Payer and Client w/ DOS and CPT Codes - Displays the outstanding balance first by payer, then by individual client for each payer, then also displays the outstanding claim ID  within the selected date of service range.


Invoicing

  • BHPN - Non EDI report for BHPN 

  • Client Invoice - Displays the outstanding client amounts and dates of service within the range selected, formatted in a way that can be printed out and sent to the client.

  • Payer Invoice - Displays the outstanding payer amounts and dates of service within the range selected, in a standard invoice format.

  • Regional Center - Non EDI report for Regional center clients. Will show rendered sessions on the report.

Payroll

  • Payroll - Will show the rendered hours for staff members and also calculate the overtime hours, drive time, and mileage automatically.

  • Manual Mileage - Will display the mileage manually added to any appointments on the schedule.

  • Mileage Details - Displays the mileage information for sessions within the selected date range, including total drive time, distance and reimbursement amount.

Clinical

  • Raw ABC Data - Displays the ABC data collected during the date range selected.

  • Skill Acquisition Raw Data - Displays the skill acquisition data collected for sessions during the date range selected.

  • Behavior Reduction Raw Data - Displays behavior session data collected during the date range selected.

  • Skill Acquisition Trials - This report provides the correct vs incorrect vs total trials for skill acquisition sessions within the date range selected.

  • Client Progress - This report will show the client medical history, behavior reduction information and graphs, skill acquisition information and graphs, and additional plan information for a client. To edit this report, export it as a Word document.

  • List of Programs and Behaviors per Client - Will list all of the added programs and behaviors for a client and indicate if there is any collected data for the target.

  • Blank Data Sheet per Client - Will list out the active programs and targets for a client in a blank data sheet format that can be printed out to collect data by paper.

Staff and Client Management

  • RBT Supervision - Will display the supervision hours for the RBT for a selected month and show if the staff member completed their monthly recommended hours.

  • Staff Documents - Lists all documents information for any document uploaded for staff, and also lists the expiration date.

  • Staff Details - Displays staff demographics information for each location.

  • Client Details - Displays client demographic information for each location.

  • Custom Fields - Lists the staff members or clients and outlines which staff/client have custom fields filled out (and lists those field values).

Audit Tools

  • Session Audit - Displays session auditioning information including when and where a session was signed.

  • Session Notes - Lists an image of each session note for the period and client selected in a printable format.
