Editing an appointment after it has been billed

If you need to edit an appointment after it has been billed (i.e, session times, CPT code, location..etc), you will need to move the appointment from "Submitted" to "Ready to Bill". 


If the claim you are trying to correct has been accepted by office ally you would follow the instructions under option #1. If the claim you are trying to correct has not been accepted by office ally OR the payer requires you to submit corrections as an original claim, you would follow the instructions under option #2.




Option #1


If you have submitted this appointment and it has been accepted by office ally:

  • Move the claim(s) from submitted to "ready to bill"
  • Once the claim is in the "Ready to Bill" area, you can make the necessary changes to the appointment on the scheduler (i.e., session times)
  • After you have changed the information on the scheduler, you will need to do the following:
    • Select the appointment(s) in the ready to bill area
    • Click "Batch form 1500 Generation"
    • Select "Mark as Submitted". Print Format: Normal.
    • Click "Generate Claim(s)
  • Your appointment will now be moved to the submitted area. From here, you can resubmit the claim as a correction or replacement claim. You will need to wait for the payer to process the claim and issue an EOB or ERA to submit the claim with the appropriate claim control number. 
  • Important: This does not apply to payers who do not accept corrected or replacement claims. If your payer requires you to submit corrections as original claims then you can follow option #2.



Option #2


If you have submitted this appointment and it has been NOT been accepted by office ally (or if you need to resubmit a claim as an original claim):

  • Move the claim(s) from submitted to "ready to bill"
  • Make the necessary changes to the appointment on the scheduler
  • Submit the claim to the payer as you normally would during initial submission (i.e, Batch EDI, Non-EDI, or Batch 1500) from the Ready to Bill area.
