Restricting Scheduling Based on Documents

Theralytics offers the option of restricting the creation of appointments depending on certain documents that you have uploaded for a staff member. For example, you may not want a staff member scheduling a certain appointment if their paperwork is out of date. Please follow the instructions below to learn more about this feature.


  1. Under the Master’s tab, there are two options for Staff Document Types and Client Document Types. Please select the Staff Document Types to see the list of staff documents that can be added in the system.

  1. Under Staff Document Types, you will see the document type, a column indicating if it is required for scheduling, and the status of the document. 

  1. When adding a new document or editing an existing document, if the Required Document option is selected, then you will not be able to schedule your staff members unless this document is present on their profile and not expired.

  1. When scheduling, if you select a staff member that does not have that document on file or the required document has expired for that staff member, the system will alert you in the top left corner of the Create Appointment pop-up.

  1. To add the document or update the expiration date, navigate to Manage Users > Documents. From here, you can edit the document and update the date, or add in the document if it is not present for that staff member.

  1. Once you have updated this information, you will be able to schedule the appointment. Please be aware that activating the requirement for any staff document means that all staff members will need to have this document uploaded for them.
