ERA Enrollment Guide

After submitting your claims electronically from Theralytics, you will want to make sure that the payer response is being sent to Office Ally so Theralytics can download it and display information relating to payment status, denials, etc. Please follow the instructions below to ensure that this has been completed for all of your payers.


  1. ERA stands for electronic remittance advice and this is how Theralytics is able to display the payer response in the system for you to review. The Payer response is generated by the payer, then sent to Office Ally, where Theralytics is able to download it and display it in the system. In the past, you may have received a paper version of this sent via mail.

  2. For each one of your payers, you will want to go to Office Ally’s website (officeally.com) select the resource center, and then select Payer ERA Enrollment Forms.

  3. On the next screen, you will need to locate each one of your payers alphabetically and find the corresponding form for that payer. For example, if I am billing Blue Cross Blue Shield of Georgia, I will want to select the tab for “B” and locate the form for BCBS Georgia.

  1. Selecting the payer will bring up the ERA Enrollment form. You will need to follow the form instructions in order to complete the enrollment. 

    1. Some forms will require you to fill out the form with your Provider information and then email or fax the form to a specific address/number.

  1. Some payers may require enrollment with an outside service like Payspan. In that case, follow the form instructions to complete that part of the process. With Payspan, you may also need to set up an EFT enrollment (these instructions will appear on the form as well).

  1. Some ERA forms will be Multi Payer forms, where you will need to also select all of the payers you are submitting to. 

  1. Once you have submitted the form, it will take some time for the form to process and for you to start receiving ERAs in your Theralytics Database. Most forms will have information on them relating to a turnaround time when you should expect to start receiving ERAs.

  2. In order to download ERAs to your database to view, navigate to the Billing tab, select claims, and click the Office Ally Sync button under the Ready to Bill tab. The system will show you a notification in the bottom right corner to let you know if ERAs have been successfully downloaded.
