Overriding Availability

Once you have set the availability for a user in Theralytics, you will not be able to schedule appointments outside of that availability. While this can help with making sure that staff members are available for the sessions that you are scheduling, you may want to have the option to schedule a staff member outside of their availability if needed. Please follow the instructions below for information about how to grant this option.


  1. Normally, when a user attempts to schedule a session outside of the availability for themselves or another user, they will not be able to and Theralyitcs will give them a warning message in the bottom right corner of the screen. For the image below, the available times are the blocks showing as light blue.

  1. You will first need to navigate to the Masters section and then Role Permissions.

  1. Once you have selected the role you would like to grant this permission to, open up the scheduling tab.

  1. The permission you will need to enable is Override Availability When Scheduling.

  1. Once submitted, anyone with this user role will be able to schedule appointments for staff members outside of their normal availability. We recommend reserving this permission for a Scheduling Admin, etc.

  2. Locations will also have their own Availability settings. These can be found by going to Masters > Location > Edit

  1. For the location Availability, this means that you will not be able to schedule outside of the set start and end times so we recommend making sure that you account for the earliest and latest appointment times that you will be scheduling for your clinic.
