Overriding Availability

Once you have set the availability for a user in Theralytics, you will not be able to schedule appointments outside of that availability. While this feature helps ensure staff members are available for scheduled sessions, there may be times when you need to schedule a staff member outside their availability. Follow the instructions below to grant this option. 


  1. Normally, if a user attempts to schedule a session outside of their or another user’s availability, Theralytics will display a warning message in the bottom right corner of the screen. For the image below, the available times are the blocks showing as light blue.

  1. Navigate to the Masters section and select Role Permissions

  1. Choose the role you would like to grant this permission to, then open the Scheduling tab. 

  1. Enable the Override Availability When Scheduling permission. 

  1. Once enabled, users with this role will be able to schedule appointments outside of normal availability. We recommend reserving this permission for roles like Scheduling Admin

  2. Each location also has its own Availability settings, accessible under Masters > Location > Edit

  1. Location availability ensures that appointments cannot be scheduled outside the set start and end times, so we recommend setting times that accommodate your clinic’s earliest and latest appointments.
