How to Switch Primary Payers

In some cases you will need to change the primary payer of one of your clients and resubmit a claim to a different primary payer. Please follow the instructions below for how to make this change.


  1. First, you will need to make sure that the new payer you are switching to has the same payer activities as the old payer. Payer activity information can be found under Manage Payer > Edit > Payer Activities.

  1. Afterwards, you will need to verify that the new payer has been added to the client’s profile. You can check this by going to Manage Client > Client List > View Profile > Edit > Insurance.

  1. Once the insurer is added, you can then add an authorization for the service codes that you used.

  1. You will then need to move the claims from the Submitted Tab, back to ready to Bill. To do this, go to Billing > Manage Claims > Submitted Claims and filter out the claims you need.

  2. You will then need to click the checkbox next to each claim, and then select the Move to Ready to Bill button.

  3. Once the claim has been moved, you can then go back to the schedule, edit the appointment, and change the payer to the new one. You will then be able to submit the claims.
