Managing client authorizations and tracking remaining units is essential for ensuring services are provided within approved limits and preventing scheduling or billing issues. In Theralytics, you can easily view authorization details, including service codes, approved units, scheduled units, and units remaining.

How to View Authorizations and Track Units


Step 1: Access the Client Management Menu 

Open the Client Management menu from the main navigation panel.

Step 2: Select the Client Profile 

Find and select the client profile whose authorization details you want to view. 

Step 3: Expand the Manage Client Menu 

In the client profile, expand the "Manage Client" menu to access authorization options. 

Step 4: Open the Authorizations Tab 

Click "Authorizations" to view a list of the client’s active authorizations. 

Step 5: Select an Authorization to View 

  • Locate the authorization you want to review.
  • Click on the three dots next to it to expand authorization details.

Step 6: Review Authorization Details 

Expanding the authorization will display key details, including:



 Service Codes  

View the service codes attached to the authorization. 


 Modifiers 

See any modifiers applied to the service codes. 

 Units Approved 

Check the total number of units approved, broken down into units and hours. 

 Units Completed 

Track units that have already been used, displayed in both units and hours. 

 Units Scheduled 

Review all past, present, and future scheduled units, broken down into units and hours. 

 Units Remaining 

Monitor the unused units left within the authorization period, displayed in units and hours.

Q:  What does "Units Remaining" mean? 
A: "Units Remaining" refers to the number of authorized units that have not yet been scheduled or used. It is displayed in both units and hours to help track service availability. 


Q:  Why don’t I see the "Authorizations" tab for a client? 
A: If you do not see the Authorizations tab, it may be due to user permissions. Check with your agency administrator to ensure you have access to view authorizations in Theralytics.
