Using Insurance Notes When Scheduling

Using Insurer notes can help you keep track of payer specific information when you are scheduling appointments for your clients. The notes you add for your payers will appear in the Edit Appointment popup as you are creating your appointments. Please follow the instructions below for information on how to use this feature.


  1. You’ll first need to navigate to the client’s profile. Select Manage Client then Client list from the menu on the left, or select the client from the search icon on the right.

  1. After accessing the client’s profile, select the Edit button and navigate to the Insurance tab.

  1. You will need to make sure that this client has been assigned a payer. Once they have you can enter in any Insurer notes in the section of the same name. Please be aware that the notes entered here will only appear when you are scheduling appointments for this client with this payer selected on the appointment.

  1. Once the notes have been added and you have clicked save, you can now go to the schedule and create your appointment.

  1. Once you have selected the client and the payer on the appointment, any notes that have been entered will appear on the appointment notes. You will be able to edit these notes on the appointment if necessary.
