Creating Client Profiles

Before you can start scheduling sessions, you will need to add your client’s information to the system. Please follow the instructions below to create a profile for your clients.


  1. From the dashboard, navigate to Manage Client and select Add Client.

  1. From here, you will need to add the basic demographic information for your client. Please be aware that the red asterisks indicate fields that will need to be filled in before the profile can be saved.

  1. For the email, this will be the email used to set up the parent portal so it will need to be one that the parent or guardian can access. You will also need to enter a username for the client. If the username needs to be changed at a later time, you will need to contact our team at support@theralytics.net so our team can change it on the backend.

  1. Under Rendering Providers for Therapy, you will want to specify the provider that you will be billing under when submitting claims for this client. At this time there can be only one Rendering Provider assigned per therapy type (ABA, Speech, etc). Here you will also want to specify the primary diagnosis, and any other diagnosis codes needed.

  1. Once the client account is saved for the first time, you will not be able to change the username. You will also see a few options at the bottom of the screen such as fields for an emergency contact and a client profile photo.

  2. Once the Demographic Information has been entered, you can then add the address info. The client address field is tied to a Google Maps integration that will give you a dropdown menu of available addresses to choose from once you start typing.

  3. After the client has been added, they will appear in the Client List. Here you can also view the active/inactive status for each client and select the yellow eye icon on the right to view their Profile Summary.


  1. If you are not able to locate the address that you need, please contact our team at support@theralytics.net so it can be added on the backend.

  2. In addition to the primary address, you can also add as many additional addresses as needed (for example, a Telehealth address). These addresses will be available to select when you are creating appointments.

  3. On the profile Summary, you can activate/deactivate a client and lock and unlock their account. Please be aware that Theralytics will track the highest number of active clients when calculating your monthly subscription invoice.
