Managing and Completing Session Notes

This guide will review features available when completing your session notes. This includes Clocking in and Out, completing and saving a session note, and collecting signatures on a note. Images from the mobile app are listed on the left, and images from the web browser are listed on the right.


  1. To view your session notes, please navigate to the appointments area on the app. On the web browser you will use the Scheduling tab.

 

  1. To view the session note, click on the note icon in the top right corner on the app, and the “Create Session Note” button on the web browser. Please note that you cannot create notes for future sessions, only for current and past sessions.

  1. To clock in at the beginning of your session, use the Clock in button at the top of the screen. This will be in the same area on both devices (you may need to allow Theralytics to see your location).

  1. Once you are done filling out the session, use the clock out button to record your clock out time.

  1. There are 2 save options depending on what you would like to do next with the note. If you would like to come back later and continue to edit the note, you can use the “Save as Draft” button.

  1. If you have completed a note and no longer need to edit it, then use the “Save” button. Please note that this will lock the note for further editing. The mobile app “Save” button is used for saving notes to your local device if you are offline.

  1. Once the note has been saved, you will need to add the required signatures with the “Add Sign” button. Your organization may require just the practitioner signature, or they may also require a guardian signature or supervision clinician signature.

  1. When the required signatures have been added, the complete button will be available to select. This will  render the session for billing.


Reviewing Clock In/Out Information


  1. Once a user has clocked in/out, you can view the location of the clock in by using the Appointments report. Please note that clock ins are not required by the system to render a session.

  2. We recommend allowing the app to access your location. Attached below is a screenshot that illustrates how to enable location access. For iOS devices, select "Allow Location Access" and choose "Always". For Android devices, you can go to the Theralytics app, click on permissions, and then click "Allow." 

  1. After making these changes, please attempt to clock in again to see if it resolves any issues you may be having.
