Creating User Profiles

Before your staff members can log into the system, you will need to create a user profile for them. Please follow the steps below to create the user profiles for your staff.


  1. From the Dashboard, navigate to Manage Users and then select Add User.

  1. From here, you’ll need to fill out the information for your staff member, including their name and address. For the information that you enter on this page, you will want to make sure that it is the staff member’s personal information, not the clinic information.

  1. If you will be billing with this staff members information (for example, a BCBA) then make sure to fill in their NPI information and select the Rendering provider checkbox.

  1. When entering the email, please be aware that this will be the email address used if the staff needs to reset their password

  1. IF the Rendering Provider Taxonomy Code is entered, this will appear along with the NPI in Box 24J. If the State License number is entered, this will also appear in that box.


  1. The username is what the staff member will use to log into the system. Once this is entered and the profile is saved for the first time, it cannot be changed (please contact support@theralytics.net if you need assistance with changing a username). Once the password is entered and the profile is saved for the first time, the staff member will need to reset it via the forgot password option on the sign in page.

  1. Once you have saved the user info, please make sure that you also set the availability for the staff member before scheduling any appointments for them.
